About the Role

We are a woman-owned, B Corporation-certified marketing agency specializing in paid media planning & buying and SEO, looking for a sharp, steady, and immensely capable Administrative Assistant/Account Coordinator to join our team. What You’ll Do

  • Manage and prioritize executive calendars, scheduling, and travel arrangements with precision and discretion.

  • Serve as a primary point of contact across email, phone, text, chat, and social media — communicating professionally and warmly on behalf of leadership.

  • Draft, proofread, and edit correspondence, reports, presentations, and internal communications.

  • Anticipate needs, track action items, and follow through on multiple competing priorities without dropping the ball.

  • Coordinate meetings, prepare agendas, take notes, and track follow-ups.

  • Handle sensitive information with confidentiality and sound judgment.

  • Support project management, administrative workflows, and ad hoc tasks as they arise.

  • Keep Drive folders organized and maintain Notion project management dashboard.

  • Support Account Manager with preparation of ad specifications, asset management, and trafficking of approved advertising assets to media vendors.

  • Receive, deposit and log client and vendor payments.

  • Represent the organization’s values and voice in every interaction.

Who We’re Looking For

  • Someone with a min. 2–3+ years of experience as an executive or administrative assistant, or in a comparable professional support role.

  • Exceptional organizational skills — you thrive with lists, systems, and a clear sense of what needs to happen next.

  • Calm under pressure. You don’t rattle easily, and you know how to navigate a stressful day without losing your cool.

  • A skilled multitasker who can manage multiple projects and priorities simultaneously and independently.

  • Strong interpersonal communicator — able to “read the room” and share ideas clearly across all platforms: email, phone, text, Slack/chat, and social media.

  • Strong writing and editing skills with a sharp eye for detail, grammar, and tone.

  • Comfort with digital tools and adaptability to new platforms and workflows.

  • A collaborative team player who also knows how to work independently with minimal supervision.

Location & Schedule

This is a hybrid role with a minimum of three days per week in our Portsmouth office. Candidates must be located within a reasonable commuting distance of Portsmouth, NH, southern Maine, or the North Shore of Massachusetts. Remote days are flexible by agreement.

Compensation & Benefits

We offer a competitive compensation package designed to attract and retain talented, committed team members:

  • Starting base salary: $52,000–$68,000, commensurate with experience

  • Unlimited paid time off and holidays
